Start with the source
Finance information arrives by email, on paper, in phone photos and across different systems. AI can help read and classify it, but an unclear source, currency or transaction date remains unclear even in a polished report.
A useful first goal is modest: keep an expense connected to its original evidence from collection through review. Agree on the fields before choosing a tool.
Design a traceable route
Separate the workflow into four stages, each with an explicit completion condition.
- Collect: retain the original receipt and record who submitted it and when.
- Extract: capture merchant, date, amount and currency, with a link to the source.
- Check: flag missing fields, possible duplicates and uncertain content.
- Review: have the responsible colleague confirm the data and classification before hand-off to the accounting system.
An amount that looks right does not confirm the currency, tax or transaction type. Include blurred photos, refunds and transactions across reporting periods in the sample set.
Route exceptions to the right person
Define what needs manual handling: handwritten receipts, unfamiliar currencies, missing merchant names or a mismatch with the claim description. The system should expose uncertainty instead of completing fields by guesswork.
Retain the previous value, reviewer and reason for corrections. Payments, formal postings and statutory reports should continue through your organisation’s existing authorisation and professional review processes.
Validate with your own examples
Use representative documents, including ordinary, blurred, duplicate and unusual cases. Compare field accuracy, correction frequency and the work needed for human review.
A pilot should show which step becomes easier and which errors add work. Establish one manageable workflow before connecting more systems.
