What should happen after a message?

Make the task small enough to inspect

Choose a repeatable task with a result someone can check: extract action items from meeting notes, for example, or draft a customer follow-up. Begin with drafts reviewed by a colleague before enabling external messages or changes to business systems.

A useful task brief includes:

  • Purpose: who will use the output, and for what decision?
  • Input: specify the document, conversation or authorised information source.
  • Output: a checklist, a summary or a message ready for review?
  • Exceptions: who should be asked when information, dates or permissions are missing?

A familiar channel still needs clear permissions

Giving an instruction on WhatsApp does not mean every request should be executed immediately. Organising information and sending a message require different permissions. So do reading and changing a record.

Use human confirmation for external messages, deletion, payments and other consequential actions. Limit connected accounts to the access the task needs, and review whether each connection is still necessary. Before using sensitive information, check the product’s data-handling arrangements against your organisation’s policies.

Build a habit around the record

During a pilot, keep a record of requests, outputs, corrections and failure reasons. Test incomplete information, similar customer names and changing instructions, as well as successful examples.
